Microsoft is getting ready to speed up how sensitive email data is purged from Exchange Online. Its upcoming Priority Cleanup V2 targets the original version’s major flaws with faster deletions and a much more streamlined administrative experience.

Priority Cleanup is a Microsoft Purview feature that allows authorized administrators to permanently delete specific email content from Exchange Online mailboxes, even if that data is protected by retention policies or eDiscovery holds. It is designed for exceptional, high‑risk situations (such as data leaks, accidental exposure of sensitive information, or regulatory privacy requests) where information must be removed quickly and irreversibly. It bypasses normal preservation rules while still enforcing strict role-based access, approvals, auditing, and security controls to prevent misuse.

How Priority Cleanup V2 improves on the original?

According to Microsoft, Priority Cleanup V2 is designed to significantly reduce how long it takes to permanently delete data. For mailboxes not under eDiscovery hold, deletions are expected to occur within hours rather than days, which makes it far more suitable for urgent response situations.

Keep in mind that disposition reviews by eDiscovery administrators will only be required if a mailbox is actually under an eDiscovery hold. For all other mailboxes, deletion can proceed without that extra review step to improve efficiency while maintaining compliance safeguards.

Controlled and safer large-scale deletions

Microsoft highlighted that Priority Cleanup V2 introduces batch-based deletion controls. By default, up to 100 items per mailbox can be deleted per processing run, with the option to adjust this limit at the organization level. This adds protection against accidental mass deletion while still supporting large cleanup operations.

Priority Cleanup V2 is currently in the planning phase, and Microsoft is actively sharing proposed changes early to gather customer feedback before implementation. This collaborative approach aims to ensure the feature balances speed, usability, and compliance requirements.
