Microsoft is set to enhance meeting productivity with its new AI-powered Intelligent Recap integration in the Outlook for Windows client. This feature allows meeting participants to effortlessly access AI-generated notes and tasks directly from their Outlook calendar.

The Intelligent Recap feature uses AI to create summaries of key points, action items, and tasks discussed during Teams meetings. It offers personalized timeline markers for when a participant was mentioned, joined or left the meeting, and when screens were shared. This feature provides AI-generated notes and suggested tasks to help users quickly review and follow up on meetings.

Currently, the Intelligent Recap feature is not available for users in the new Outlook for Windows client. However, the upcoming release will allow participants to automatically access all meeting artifacts in the new Outlook calendar shortly after a Microsoft Teams meeting ends. These artifacts include AI-generated meeting notes, name mentions, follow-up tasks, speaker identification, chapters, topics, and more.

How to access Intelligent Recap in New Outlook for Windows

According to Microsoft, users will be able to access the Intelligent Recap feature from the new Outlook calendar in two ways:

  • Select a meeting in the Outlook calendar and click the View recap option to access the meeting recap tab in Microsoft Teams.
  • Select the meeting from the Outlook calendar to view the meeting summary in Outlook. From there, choose the “View Recap” option to access the Recap tab in Microsoft Teams. The Files tab in Teams will display various meeting artifacts, including transcripts and attendance reports.

“All new Outlook users will be able to access Recap artifacts in Outlook, with the specific artifacts available depending on their license status. Users with Microsoft Teams Premium or Microsoft Copilot for Microsoft 365 licenses will see the full set of Recap artifacts. Users without Teams Premium or Copilot for Microsoft 365 licenses will see the basic set of Recap artifacts, such as recordings, transcription, and shared files,” Microsoft explained.

Microsoft plans to begin rolling out the new Intelligent Recap feature to its Outlook for Windows and web clients next month. This capability is expected to be generally available for commercial customers by late August.

Earlier this month, Microsoft announced that its new Outlook for Windows client will hit general availability on August 1. The company stated that the classic Outlook desktop app will still be available as an opt-in experience for commercial customers. However, some key features, including support for COM add-ins, are still missing from the new Outlook desktop app.
